Your registration will be regarded as provisional until such time as payment has been received, either through a successful credit card transaction or receipt of your inward bank transfer or bank cheque. After receipt of payment, your registration will be approved within a few days by ISITA2008. Other modes of payment, including personal cheques and money orders are not acceptable, with the exception of cash payments for on-site registrations at the venue. All amounts quoted on this web site are in New Zealand dollars unless explicitly stated otherwise. It is your reponsibility to ensure that payment is made in New Zealand dollars if you are paying by bank transfer or bank cheque, and that the amount transferred covers clearance fees of NZD 15 for bank transfers and NZD 25 for bank cheques (per transfer/cheque).
Each paper in the symposium must have at least one registered author. ISITA2008 permits at most two papers per registered author. If you have more than two papers in ISITA2008, please contact us for advice. Any concessions in this regard may incur additional fees, such as, e.g., a second registration fee.
The registered author of a paper may be a student on a student registration. Student registrations are available to bona-fide students only. This does not include students presenting research undertaken during paid employment or authors holding a PhD, unless the PhD has been completed recently and the registrant is presenting the results of his or her PhD research.
Note that approval of your registration does not automatically guarantee you entry into New Zealand, as this may be subject to your ability to obtain an appropriate visitor visa from Immigration New Zealand, and appropriate transit visa from any country you may need to pass through on your way to New Zealand (e.g., Australia or USA). Please consult the Immigration NZ web site for more details on whether you require a visa. Many countries from developed world are visa-free, with some notable exceptions, and delegates who are not from a visa-free country will usually require a visitor visa.
ISITA2008 will make every reasonable effort to assist you with visa applications if you are the (co-)author of an accepted paper or if it can otherwise be established that you are a bona-fide member of the Information Theory research community, and you have paid your registration fees. In this case, we will be happy to issue you with an invitation letter once your registration has been approved. However, ISITA2008 cannot guarantee the outcome of such applications. ISITA2008 is not able to assist with or support visa applications for non-authors whose relationship to the Information Theory research community cannot be established beyond doubt.
As a matter of principle, ISITA2008 will not refund registration fees in full if the participant withdraws or is for other reasons unable to attend the symposium. The term 'refund' below thus always refers to a refund of the registration fees less a processing fee of NZ$200 per registration. This fee increases by NZ$100 for each additional paper for which the withdrawing registrant is the registered author. Any refunds whatsoever must be applied for before 7 December 2008.
ISITA2008 does not refund registration fees of authors of papers accepted for publication unless all papers and the registration are withdrawn before the camera-ready deadline (7 September 2008). At most one registration per paper will be eligible for such a refund.
After 7 September, ISITA2008 will only consider refunds in cases of serious personal emergency, such as serious illness or death of a non-author registrant or close family member of the registrant. Documentation will be required to support such claims. Your inability to attend ISITA2008 because of other commitments of a non-emergency nature or your failure to procure the necessary visa do not constitute grounds for a refund. The ISITA2008 co-chairs may, at their sole discretion, grant refunds on a case-by-case basis to registrants who are authors or co-authors of an accepted paper and have made a reasonable, timely and verifiable effort to obtain the necessary visa but for whom approval has, in the co-chairs' opinion, been unreasonably withheld or delayed by the processing authorities.
As a New Zealand-based conference, ISITA2008 is subject to the New Zealand Privacy Act 1993 and its amending legislation. Under this legislation, we must tell you for which purpose we collect data from you. You also have the right to know which personal data we hold about you and to have it corrected if it is erroneous.
ISITA2008 retains your registration data solely for the purpose of organizing the symposium and for the purpose of contacting you if the need arises in this context. This includes access of other participants to your contact details, such as your e-mail address. ISITA2008 makes every reasonable effort to keep your registration data secure from unauthorized access and does not on-sell or pass on data to third parties except for the purpose of notifying you of upcoming ISITA symposia, and except to the extent as may be required of the organizing committee under applicable legislation in New Zealand and elsewhere. Author and publication information will be shared with IEEE for the purpose of including accepted papers in IEEExplore and with further ISITA symposia for the purpose of notification and refereeing.
ISITA2008 does not require you to surrender credit card data to the ISITA2008 server, even if you are paying by credit card. Credit card payments for registration are processed independently on servers provided by Paystation Ltd., EFTPOS NZ Ltd., and National Bank, the authorized agents of ISITA2008. These agents' consumer data/privacy policies apply to any data collected by them. No personal data collected by ISITA2008 is passed to these agents in order to process your payment. If you intend to pay using a credit card under someone else's name, please put a note to this effect (stating the name, or likely name) in the comment field on the payment information form in the registration system. This assists us in matching incomplete credit card payment transactions with your registration.
